Terms and Conditions for Reservations through WhatsApp with Openpay Payment Line

Extended Suites WhatsApp Information Notice

Extended Suites, committed to implementing technologies to make lodging reservations easier, has implemented the reservation tool through WhatsApp and with a secure payment line through Openpay.

This tool will be available starting on November 16, 2023.

How to Make Reservations through WhatsApp

The client contacts Extended Suites via WhatsApp and will be assisted by an Executive.

The Executive will request data to make the reservation that the client requires.

The data to be requested are:

  • Location of lodging
  • Full name of the person (the person making the reservation must be the same person who provides the promotional card details and must be the person staying).
  • Reservation dates
  • Requires an invoice
  • Information to generate an invoice (current tax situation, contact email)
  • Type of card for payment (Debit and/or Credit). In the case of credit cards, in order to benefit from interest-free installments, it must be a VISA or MASTERCARD from any bank.

Once that information is provided, the reservation is made and a payment line will be generated, which is supported by Openpay (check Openpay terms and conditions on their official website).

In case of cancellations, modifications, no shows, and/or refunds, please review the following points in this document.

Valid Promotion

Applicable for reservations at any of the Extended Suites locations. For credit card payments (VISA or MASTERCARD) in interest-free installments, it applies to reservations with a minimum amount of $3,000 MXN.

Applicable Cards

For payments using the Openpay platform, debit cards and credit cards (VISA & MASTERCARD) from any bank are accepted.

For the Interest-Free Installments Promotion, it applies only with Credit Cards, both VISA & MASTERCARD from any bank. Monthly installment plans are only available for purchases made in the country and must be paid in Mexican pesos.

Pricing Policy

The published price is in the national currency (Mexican pesos), and is only valid for this promotion and for Mexico. Prices of products and services may vary in comparison to branches, as well as promotions and availability of these.

We recommend always verifying the purchasing conditions before placing your order, in order to ensure the terms and restrictions that may apply (minimum purchase amount, number of available rooms, etc.).

All product prices include VAT and other applicable taxes. This amount will be indicated before finalizing your order, so that you can accept it.

Confirmed Reservations

Once the client makes their reservation via WhatsApp, and it is confirmed by the sales executive, a reservation confirmation link will be issued, which will be valid for up to 48 hours for the client to make the corresponding payment.

If the corresponding payment is not made within that 48-hour period, the payment link will be canceled, and the reservation process will need to be repeated.

Reservation Modifications

Any reservation can be modified with a minimum advance notice of 24 hours before arrival (check-in). In other words, if check-in is at 3:00 p.m., you have until 2:00 p.m. the day before your arrival to modify your reservation, which must be done via WhatsApp.

If the client wishes to modify their reservation on-site or outside the established period, they will be penalized with the charge of one night per room reserved.

Requirements for Modifying the Reservation

The following data must be provided:

  • Reservation number
  • Location
  • Name of the person the reservation is under
  • Date

With this information, the account executive will confirm the reservation modification to the client within 8 hours.

Cancellations & Refunds

  • In case of canceling the reservation, there is a maximum period of 72 hours after the reservation confirmation to cancel without any penalty.
  • If cancellation is requested within less than 72 hours, it will be penalized with the full charge of the reserved rooms.
  • The 72-hour period starts once the reservation is confirmed with the issuance of the confirmation link by an executive.

No Show

If the client does not show up for the first night of their reservation, the first night of each reserved room will be charged.

Requirements for Cancellation

Cancellation must be requested via WhatsApp providing the following data:

  • Reservation number
  • Location
  • Name of the person the reservation is under
  • Date
  • Clear and precise description of the reason for cancellation

Refunds

If the end user is dissatisfied with the service provided and requests a refund for their stay, they must meet the refund requirements and request it through the same platform.

The refund will be processed in the same form of payment used. Refunds made to credit cards are exclusively for purchases made with that same card. Processing times depend on each banking institution.

Requirements for Refunds

In order to request a refund of the reservation payment, the end user must:

  • Request made by the same person who made the reservation
  • Be the same person who made the payment with the promotional card
  • A charge of one night per room reserved will be deducted
  • Provide the account statement cover of the bank card used (showing INTERBANK CLABE as well as the name of the person who made the reservation and payment)
  • ID (valid) of the person who made the reservation and payment
  • If the refund is requested by a person other than the one who made the reservation and payment, a letter of authorization justifying why the person who made the reservation and payment is not the one requesting the refund must be provided.
  • Once the requirements are met, the processing time for the refund is up to 4 business days.

Invoicing

If the end user requires an invoice for their stay, they must request it through the platform.

The invoice will be issued once the end user's stay is completed.

Requirements for Issuing the Invoice

In order to issue the invoice for the reservation payment, the end user must:

  • Provide reservation details (reservation number, date, and name of the person under the reservation)
  • Information from their valid tax situation certificate.
  • Contact email

Customer Information

All information provided by customers will be confidential and subject to the Privacy Notice published on the Extended Suites website https://www.extendedsuites.com.mx under the Privacy Policy section.

Modifications to the privacy notice

This privacy notice may be modified from time to time by Extended Stays; such modifications can be consulted through the following means:

  • Our website www.extendedsuites.com.mx (Privacy Policy)
  • Visible notices at our Extended Stays facilities
  • Any other oral, printed, or electronic communication means that Extended Stays determines for this purpose.

Extended Suites reserves the right to make modifications to the present terms and conditions of use of the Extended Suites services.

Applicable Law and Jurisdiction

These Conditions and your use of the Services shall be governed and interpreted in accordance with the laws of Mexico City, without resorting to any conflict of legal provisions.

The third-party service reserves the right to change or modify the terms and conditions contained in these Terms or any policy or guideline of the Services at any time and at its sole discretion. Not being aware of the content of this document and the Policies does not exempt you from any responsibility; We recommend that you carefully read the content of the Terms and Conditions of Use, as upon entering, accessing, browsing, using, or registering as a User or Client, all obligations contained herein will apply to you.

Platform Usage Requirements

Services can only be contracted and used by adults, and the contracting and use of services by minors is strictly prohibited. By accessing and registering on the site, you acknowledge your desire to acquire the Services at all times, complying with the legal regulations, Policies, operational guidelines, and terms established here.

Identity Verification

At Extended Suites, we do not investigate or verify the reputation, conduct, morality, criminal, commercial, credit history, or any information that a client may present through the Services. Extended Suites makes no representations or warranties of any kind regarding any registered user to use the Services.

General

The purpose of these Terms and Conditions of Use is to establish the terms and conditions (hereinafter "conditions") for the use of the Electronic Payment Acceptance service through Openpay. By using the Service, you accept the Policies that govern it, including third-party policies; Additionally, you assume all risks associated with operating and carrying out activities on the internet. In addition to what is stipulated, the Services include the receipt and processing of authorization requests for payment made by Clients for products and services offered by the mobile application.

The customer contacts Extended Suites via WhatsApp and will be assisted by a Sales Executive.

The Executive will request data to make the reservation that the customer needs.

The data to be requested includes:

  • Location of lodging
  • Full name of the person (the person making the reservation must be the same person providing the promotional card information, and must be the person staying).
  • Reservation dates
  • Requires invoice
  • Information for issuing invoice (current tax situation, contact email)
  • Type of card for payment (Debit and/or Credit). In the case of credit, to be eligible for interest-free installments, it must be VISA or MASTERCARD from any banking institution.

Once that information is provided, the reservation is made and a payment line will be generated which is supported by Openpay (refer to Openpay's usage and conditions on their official website).

In cases of cancellations, modifications, no-shows, and/or refunds, please review the following points in this document.

The refund will be made in the same form of payment used. Refunds made to credit cards are exclusively for purchases made with that same card. Processing times depend on each banking institution.

Requirements for Refunds

To request a refund of the reservation payment, the end user must:

  • Request must be made by the same person who made the reservation
  • Be the same person who made the payment with the promotional card
  • A charge will be made for one night for each reserved room
  • Provide the cover page of the bank statement of the card used (showing INTERBANK CLABE as well as the name of the person who made the reservation and payment)
  • ID (valid) of the person who made the reservation and payment
  • If the refund is requested by a different person than the one who made the reservation and payment, a justification letter must be provided explaining why the person who made the reservation and payment is not the same as the one requesting the refund.
  • Once the requirements are met, the turnaround time for the refund is up to 4 business days.

Invoicing

If the end user requires the invoice for their stay, it must be requested through the platform.

The invoice will be issued once the end user's stay is concluded.

Requirements for Issuing the Invoice

To issue the invoice for the reservation payment, the end user must:

  • Provide reservation details (reservation number, date, and name of the person the reservation is under)
  • Information about their current tax situation
  • Contact email
